When clients consider outsourcing 3D drafting to a drafting firm, many ask how we safeguard quality once the work is no longer done on their own premises. We solve that with at least three review layers. A drafter draws, a second team member checks that work, Sam, our team leader, then reviews it, and Barry, our project manager, looks over it last before we send anything.

We do not use that structure for show. With a set of Revit families that has become clogged up, or a revision round on existing DWGs that has to be correct in several places at once, a single glance will not catch every error.

Our team consists of people with more than ten years of CAD experience, led by Sam, who has more than fifteen years of background in architecture. We work in Revit, AutoCAD and Rhino, with Inventor and Grasshopper, and we deliver in DXF, DWG, Revit formats or STEP. We do the work remotely from our office, with the Netherlands as our area of operation, and you are always welcome to visit and meet our team.

What a drafting firm delivers when you outsource 3D drafting

When you are considering outsourcing 3D drafting, the first question is what exactly a drafting firm delivers. With us, the delivery consists of 2D drafting where needed and, where the project calls for it, 3D modelling, as-built drawings and revisions of existing material. That might be a completely new model, a set of components that comes back in high volume, or a file that was printed incorrectly and partly drawn by hand, which we therefore first sort out properly before making it usable.

Revit family with a linked material schedule, built to the client's CAD standard
A smart component with a live material schedule: a change to one part is reflected in the schedule straight away.

Our main software is Revit, AutoCAD and Rhino, supplemented by Inventor, Grasshopper and, to a limited extent, Dynamo and Vault, always in the latest versions. We deliver the output in DXF, DWG, Revit formats or STEP, or in virtually any other common CAD format you work with. For parametric work we also build smart Revit families that adapt to a new size, so we do not have to redraw a component by hand each time and the material schedule updates automatically.

Our large, variable team scales with the volume of each assignment, so we can absorb a peak in your drawing office without other ongoing work being delayed. Every piece of work goes through at least three review layers before we deliver it. That way you know in advance not only what we draw, but also in which format, at what level of detail and with what checks we hand it back to you.

Collaboration and communication with the drafting firm

Architecture firms
Three projects under way, and the modelling for the fourth is stalling.
Manufacturers
The product line needs to become smart components, but nobody in-house can be freed up.
Contractors
The as-built dossier needs updating while the drawing office has already moved on to the next job.
Engineering firms
A peak in drafting work that your own team cannot absorb.

When you outsource 3D drafting to a drafting firm, the collaboration counts just as much as the drawing itself. With us, Barry is usually the first point of contact for a new request. As soon as the project takes shape, Sam takes over the technical side and guides the execution, so you always deal with the same people rather than changing contacts. We agree the rhythm of catch-ups with each client, from every two days to weekly contact, depending on how fast the project needs to run and how complex the subject matter is.

For standalone AutoCAD drafting, we usually exchange files by email, in a clear rhythm of delivering and getting feedback. On larger projects, such as in greenhouse construction, we use an environment you can log into to follow the project's progress live, without us having to send a separate message each time. Day-to-day contact runs through email, phone or a short meeting, and a visit is always an option, even though we carry out the work itself remotely from our own office. We work in our own environment and with our own licences, not logged into your systems, which keeps coordination simpler.

Thanks to that fixed rhythm and fixed point of contact, we are not an anonymous party at a distance, but a team where you know who is responsible for what and when the next delivery is due. New clients usually notice that rhythm by our first partial delivery, which quickly builds trust in the collaboration.

When you outsource 3D drafting, ownership plays a role that clients often want to settle in advance. The intellectual property of what we draw and model belongs to you, even when it is a parametric Revit family we build specifically for a project. You can therefore use the result without restrictions in your own process, even after we have completed the project. On confidentiality, we have not signed a non-disclosure agreement so far, simply because clients have not asked for one to date, but we are fully open to an NDA if you would like one. We exchange files by email or, on larger projects, through an environment that only those involved can log into. We work with our own software and our own licences, in our own environment, not in your systems, so we always know where the files are.

When revising existing drawings, such as an as-built file that was partly drawn by hand, we take the original as our starting point and do not deviate from it without consulting you. We record agreements on ownership, format and delivery in the first conversation, together with the CAD standard you use. That way you know exactly where you stand in advance, with no small print that only surfaces later, and we can simply get to work with no disputes afterwards about who may use which file. If you want extra certainty, you can put those agreements on paper with us before we share the first file.

From first conversation to delivery with a drafting firm

We always start a project to outsource 3D drafting to a drafting firm with a conversation. In it, you map out the details of the project and usually also supply existing drawings that need revising, for example a file that was printed incorrectly or partly drawn by hand. Based on that, we decide together which CAD standard and drawing conventions apply, so the result matches what you need further down the line.

Step 1
Drafter
Creates the model and the drawings.
Step 2
Second team member
Checks the work for structure and dimensions.
Step 3
Sam
Team leader: reviews the technical side of the set.
Final check
Barry
Project manager: gives it a final review before delivery.

Once that is clear, our team gets started, from a single drafter on a smaller assignment to a larger crew when the volume or deadline requires it.

Case study: Firefly

We do not deliver one large package in one go, but in stages, so you can review and adjust along the way before we pick up the next piece. Each partial delivery is followed by feedback, which we process before the project continues, and we repeat that rhythm until the project is complete. Every component goes through at least three review layers, from the drafter who produces the work to Sam as team leader and Barry as project manager, who look at it last.

We reply to a new request within 1 to 2 working days, and as soon as we have enough information, we start on the first work. If you first want to see how our team works, a short, smaller assignment is a logical first step, before we scale up to a larger, ongoing project with more available capacity and a fixed rhythm of catch-ups.

FAQ

Frequently asked questions about outsourcing 3D drafting to a drafting firm

If you are considering outsourcing 3D drafting to a drafting firm, we deliver 2D drafting, 3D modelling, as-built drawings and revisions, depending on what the project requires. We work in Revit, AutoCAD and Rhino, with Inventor and Grasshopper as well, always in the latest versions of those packages. We deliver our output in DXF, DWG, Revit formats or STEP, or in virtually any other common CAD format. For repetitive work, such as a piping schematic with valves in different sizes, we also build parametric Revit families that speed up the work considerably.

Every piece of work goes through at least three review layers with us before it goes to you. That way you know in advance exactly what we deliver and in which format. A first conversation quickly maps out the exact scope. We then draw up a schedule that fits the turnaround time you need.

We safeguard quality because every piece of work goes through at least three review layers before we deliver it. A drafter produces the model or drawing, a second team member checks that work, and Sam, our team leader, reviews it. Barry, our project manager, looks over it last before anything goes to you. Everyone on our team has more than ten years of CAD experience, and Sam has more than fifteen years of background in architecture.

That keeps the number of errors minimal, even at high volume. We work to your standard and drawing conventions, so the result matches what is customary in house. When revising existing drawings, we apply the same care as with new work. A conversation beforehand makes clear which checks are needed.

Barry is usually the first point of contact as soon as a new request comes in. After the first contact, Sam takes over the technical side and guides the execution of the project. As a result, you always deal with the same people, even when our large, variable team grows with the project. Sam, as team leader, has more than fifteen years of background in architecture and directs the technical side of our CAD team.

Barry keeps track of progress and answers questions during the project. That fixed point of contact means you do not have to explain again where your project stands every time you have a question. We agree the rhythm of catch-ups in the first conversation, from every two days to weekly. That way you always know who to turn to.

The intellectual property of what we draw and model belongs to you. That applies to a single model just as much as to a complete set of drawings or a parametric Revit family we build for a project. You can then use the result without restrictions in your own process, even after the project has been completed. We do not retain any rights to what we deliver. We record agreements on this in the first conversation, together with the file formats you need and the CAD standard. When revising existing drawings, we take your original as the starting point. We are also open to a non-disclosure agreement, even though we have not signed one so far. That way you know exactly where you stand in advance.

A non-disclosure agreement is possible, even though we have not signed one so far. Clients have not asked for one to date, but we are open to an NDA if you want one. Confidentiality mainly matters when you work with sensitive drawings, for example a design that is still confidential. We work in our own environment and with our own licences, not in your systems, which keeps the separation of files clear.

We exchange files by email or, on larger projects, through an environment only those involved can access. The intellectual property of the result belongs to you, regardless of an NDA. A request for confidentiality is best discussed in the first conversation. That way everything is on paper before we share the first file.

We reply to a new request within 1 to 2 working days, usually by phone or through the contact form on our website. This is followed by a conversation in which we go through the project and you supply the necessary documents. As soon as we have enough information, such as existing drawings, the file formats you need and the CAD standard, we start on the first work. For a smaller assignment, that is often shortly after the first conversation.

For a larger assignment, getting started takes us a little more time, although the response time stays the same. When things are urgent, we add extra people straight away, so a tight schedule remains achievable. If you have doubts, you can start with a short, smaller assignment as a first introduction. That quickly gives you an idea of our speed and accuracy.

We work in our own environment and with our own licences, not logged into your systems. We carry out the work entirely remotely from our office. You supply the necessary documents, such as existing drawings and the CAD standard you want, and then receive the result back. We send files back and forth by email or, on larger projects such as in greenhouse construction, through an environment in which you can follow progress.

Day-to-day contact runs through email, phone and meetings, and a visit to our office is always possible. Our focus is on the Netherlands. This way of working keeps responsibility for licences and software with our team. That means you do not have to provide an environment of your own to get started.

Our large, variable team scales up or down per project, exactly as the volume requires. When things are urgent, we add extra people straight away, without having to start a new project. That team is already in place, with more than ten years of CAD experience, led by team leader Sam, who has a background in architecture. If someone is out due to illness or holiday, we replace that person so the work carries on.

You bear no ongoing salary costs and do not work with prepaid hour bundles or an hours subscription. We only bill pure working hours, meaning only time we actually spend on the project. For a deadline that cannot slip, we keep working, including evenings and weekends. A short catch-up is enough to schedule that extra capacity.
