There are several ways to get as-built drawings made: through a freelancer, through a new permanent employee, or through an as-built drawings service with a drafting team that is ready to go, like ours. A freelancer often works alone, without a second pair of eyes on the result, and you first have to recruit and train a new employee before any actual drafting comes out of it.

With us, the team is already in place, with drafters who each have more than ten years of CAD experience, and we deploy whatever the project needs.

That is exactly what as-built work calls for, because it often concerns existing situations that nobody has recorded properly and that we first have to work out before anything is drawn. Our process starts with a conversation in which you give us the details and usually also existing drawings that are due for revision. From there we deliver in stages, gather feedback and make adjustments, until the end result matches what is actually on site.

Our as-built drawings service: the process step by step

With us, having as-built drawings made always starts with a conversation. In it, you map out the situation: what is there, which drawings already exist and why they are no longer correct. You often send us existing documents that are due for revision, sometimes partly drawn by hand or printed incorrectly, and sometimes part of the information is missing altogether. Our drafters then investigate for themselves rather than calling you about every uncertainty, and work out how everything fits together before we start drawing.

Once that picture is complete, we deliver the work in stages. That way you see something along the way, give feedback on the first drawings, and we process that feedback before we pick up the next part. It prevents a wrong assumption from only coming to light at the final delivery. Our contact rhythm differs per client: on one project we talk every two days, on another weekly contact is enough, depending on how fast things need to move.

Files usually go back and forth by email, and on larger projects we work in software you can log in to in order to follow progress. Throughout the project we check at least three times before we call a drawing final, from the drafter themselves to a final look by Barry, our project manager. The result is an as-built file that matches the actual situation, even when the starting point was messy and the drawings supplied turned out to be barely legible.

For as-built work we mainly draft in AutoCAD and Revit, with Rhino as an additional package as soon as a situation calls for 3D modelling. We always work with the latest versions of these programs, so a delivered file fits seamlessly with what you use. Our file formats are DXF, DWG, Revit formats and STEP, and in practice we handle almost every common CAD format, even when the documents supplied come from an older system. We work in our own environment with our own licences, not in yours, which keeps file handover simple.

More important than the software itself, in our view, is alignment with your standard: we ask in advance for the drawing conventions, layer structure and layout you normally use, and then stick to them. That prevents a delivered as-built drawing from being technically correct but still not fitting into your own archive. With a file that has been partly drawn by hand, we first work out which parts can be reused digitally and which parts we rebuild. Where needed, we also use parametric Revit families, so we do not have to redraw repeating components every time the situation differs slightly.

On a project where components recur often, such as piping components in greenhouse construction, we also assess whether a parametric set-up will save time in the long run, even when the current project does not specifically ask for it. That way the delivered file is not only up to date, but also usable for your own downstream process, years after we have handed it over.

As-built work rarely comes in at an even pace. Sometimes it is a single drawing that we update, sometimes a complete file of hundreds of sheets that we go through in one go. That is why we scale with the work: our large, flexible team deploys one drafter on a small assignment and as many drafters as needed when the scope calls for it. That team is already in place, with experience already built up, so scaling up with us does not mean you first have to recruit and train someone. When it is urgent, we add extra people straight away, so we really do meet a deadline that cannot move. If a team member is temporarily unavailable due to illness or holiday, we replace that person so work on the as-built file does not stall. You pay no ongoing payroll costs as you would for your own permanent employee, and we scale back down again after the peak.

At Firefly we have already applied this approach more than twenty times, resulting in hundreds of drawings across different projects. When a deadline could not move, we also worked through evenings and weekends, with days of fourteen to fifteen hours, to deliver on time. As-built work often needs that flexibility in staffing, because the scope of a file only becomes truly clear to everyone involved after the initial investigation. And when a project becomes smaller again after the peak, our staffing adjusts without any ongoing obligation towards our drafting team.

We can also take over an ongoing as-built file that your own team has already started, provided the existing documents and the standard used are clearly handed over to us. That keeps the threshold for getting started low, even when the starting point is a messy file.

Frequently asked questions about our as-built drawings service

An as-built drawing records the actual situation as built, rather than the situation as someone originally designed it. What was built often differs from the original design, because of changes during construction or because a fully digital design never existed. At Firefly, for example, it concerned as-built material whose drawings had been printed incorrectly and partly drawn by hand. We worked that out ourselves at the time instead of constantly calling the client, and still delivered it neatly.

A file like that then forms the basis for maintenance, revisions or a next project at the same location. Without a correct as-built drawing, that basis remains unreliable. That invites errors later on. A first conversation makes clear how much work a specific file involves.

That happens more often than you might expect, especially with older files that have been updated by different people over the years. We first work out which information is usable. At Firefly it concerned exactly this kind of material: incorrectly printed and partly hand-drawn documents that were hard to read. Instead of consulting the client about every uncertainty, we worked it out independently and built it up properly.

A project like that takes more thinking on our side than a normal revision. The result is a digital file that matches your standard. For a comparable file, this is exactly the kind of work we are set up for. A conversation about the state of the documents quickly gives clarity.

Without that alignment, a technically correct drawing still would not fit into your own archive, and this is how we prevent that. We work in our own environment with our own licences, but deliver in the format you are used to.

With existing families or templates, we assess whether we can reuse them or whether rebuilding would be faster. If an existing set is very messy, rebuilding is sometimes wiser than repairing. We always make that choice in consultation with you. A conversation about the existing standard is part of the start of every project.
